WYSHRA Board of Directors Meeting
May 15, 2010


Chairman Glenn Barlow called the meeting to order, with prayer followed by pledge led by Jim Whipps.  The following were in attendance:  Joann Merritt, Steve Rennells, Tim McInerney, John Thurston, Jim Whipps, JD Romsa, Neil Williams, Colt George, Ace Thurston, Taylor Kelly, Shana Lyons, Kathy Lucas, Jared Gill, Logan Bell, Amanda Nicholson, Jessie Sturman, Taenia Storbeck, Tashala Storbeck, Meredith Rinker, Leta Rinker, Raegen Scott, Ethan Hepp, Casey Townsley, Randy George, Troy Scott, Dixie Huxtable, Jennifer Bonham

Treasurers Report- Troy reported that the income tax return has been finished. Almost everything has been moved to Converse County Bank.  All the bills will go to the accountant- An expense claim form was given to all board members and event directors.  The forms need to be in by the 10th of every month & paid by the 15th.  Troy will go in and approve and sign checks for these expenses.

Troy made a motion to approve the minutes and Randy seconded.

National Directors Report- Our association has 283 members.  We do not have a jacket sponsor this year – There was much discussion on this.  It was decided to go with the national coats made by Carol Leather. Dixie will check on if it’s legal to put a sponsor on the national coat.

-Shooting Sports- Mrs. Nettles has been contacted to be a trainer for shooting sports for the NRA. Dixie will get her in contact with Jim Whipps and American Legion, so we can have a shooting competition at state finals. 

-Tobacco & Chewing- Not allowed in the Arena or at rodeo. There was much discussion on this.

-State packets are out- There are deadlines to follow- Grades must be turned in by June 21st. Those that are not in good standing grade wise will not be allowed to compete at state finals.

Legion Report- Jim contacted the Rockpile museum and gave them information. 

-Seniors have scholarship deadlines that need to be met and there NO EXCEPTIONS.

Money is still coming for scholarships- As of now the balance is 16,004.14.

Student Report- Regan reported $28,615.12 in the student account.  The calendar drawings are taking place every week and going well.

Executive Board- Steve reported on the Jr. High Division- They had a meeting in Torrington & came up with a point system. It is now on the WHSRA website.

-Ibedrola- Troy reported that this was signed and sent out.

-By Laws - Jim Whipps reported that there was a word change made- instead of committee it reads High School Association.   Dixie also brought up, the other thing missing is putting in Jr. High Division and she will help them come up with wording for that in the By-laws.

These By-laws must be finished by June 27th. The Board needs to approve these before sent to Nationals.

-Anonymous Letters-The board has received 3 letters that have not been signed and have been disregarded.  The Board will discuss any situation if letters are signed… There was much discussion on this.

-Official Publication- Siri Stevens gave a presentation at New Castle.  Dixie brought up that this is the kids’ paper and they need to decide.

Ace made a motion to keep Rodeo News and Taylor Kelly seconded.  Motion carried.

Wrangler gave $1050.00 and Glenn proposed that we put that money in the scholarship fund at Nationals where they will match dollar for dollar that amount.  If not used this year it rolls over to the next year.  Jim Whipps said we could take that out of the amount they gave last year, which was 1050.00.  Troy moved to do that and Jim seconded.  Motion carried.

Glenn asked if the volunteer insurance was in place and Dixie confirmed that it is.

Tim Rodewald is out of the hospital and is home healing up.  They appreciated the money given to them through the crisis fund.

Rules & Judging- Executive board decided at Newcastle that we would provide $800.00 a piece and a free room for our 3 state final judges.

We also have our cutting judges.

Youth Advisory- Rough stock school went well, the feedback was very positive!!  Randy said there were about 30 kids that attended. Randy is going to start working on getting bigger sponsorships involved.

-Barrel Clinic- Jo Ann reported a big thanks goes to Katy Scott and Darcy Scott for helping put on the Brandi Hall Clinic. Brandi did a phenomenal job!!   Feedback was great!!

-Cutting Clinic- Big thanks goes to Glenn Barlow for taking the time and sharing his knowledge and wisdom and also thanks to Rod Smith for donating the cattle. We have heard great feedback.

-Dixie brought up that for clubs that are asking for donations from companies, you need to be very thorough and complete with your paper work, so the association will be in good standing.

Donations & PR- Tim McInerney reported that all saddles and buckles, and day planners have been ordered.

-Todd Sloan certificates will be issued at stated finals and the G Bar G are doing the steer wrestling saddles.

-Gist will be the buckles given at state finals.

Tim will talk to Bruce King about the gift certificates.

Host Committee- For the future Troy will present a contract for state finals.

-Camper spaces east of the bath rooms are torn up.

-Troy took down names of board members that want camper spaces at finals.

Nominations- 5 board member positions are open:  The members terms that are up; Troy Scott, Glenn Barlow, Tim McInerney, Tom Parker and JD Romsa.  Applications are available from Steve Rennells.  We will go through applications at Douglas rodeo and interview on Wednesday at state finals.

Queen- Tashala is working on getting sponsors together.  There will be 4-6 girls trying out for queen at state finals.

State finals Agenda- Senior recognition will be at a performance and all the seniors will do it at the same time.

Old Business- None

New Business- Randy brought up the situation at Rocksprings with Tim Rodewald- The conditions of the arena and the question of indoor facility not used?   There was much discussion on this.  Glen brought up that it is the arena directors’ call.

Troy made a motion to adjourn the meeting and John seconded it.
